A US membership-based publisher

Membership directory sync for a WooCommerce store

A membership publisher’s public directory sits on a separate site from the WooCommerce store that sells the memberships. We made the store’s records the single source of truth and built the sync, with a guard so a bad feed can’t empty the directory. Delivered as a contractor to a US digital agency.

  • 15-minute incremental sync
  • Instant webhooks
  • Daily reconciliation with a 20% delete guard

The challenge

A membership-based publisher sells memberships through a WooCommerce store, and its public member directory lives on a separate site. Keeping the two in step was fragile.

The directory needed one source of truth: the store’s membership and subscription records.

What we did

  • Built two custom plugins that link WooCommerce Memberships and Subscriptions on the store to the public directory.
  • Exposed the membership data through an authenticated REST feed.
  • Sent instant webhooks when a membership changes, so the directory updates straight away.
  • Added a 15-minute incremental sync as a backstop for anything a webhook misses.
  • Ran a daily full reconciliation that refuses to delete more than 20% of records in one run.

Key decisions

  • Webhooks for speed, schedules for safety. Webhooks keep the directory current within moments; the 15-minute sync and the daily reconciliation catch anything a webhook misses.
  • A delete guard. If a reconciliation would remove more than 20% of records, it stops instead. A bad or partial feed can’t empty the directory.

What this delivered

The store’s membership and subscription records are now the single source of truth for the public directory. Changes reach it straight away, scheduled syncs catch anything a webhook misses, and a bad or partial feed cannot empty it.
